Relevance AI in 5 minutes

Relevance AI in 5 minutes

Issue #36 - Build a staff of specialist AI agents that handle your GTM grunt work — without writing code

What it is

Most GTM teams have one of two problems: either they're drowning in repetitive research and enrichment tasks, or they've stitched together five tools that don't talk to each other. Relevance AI is built around the idea that organizations should think about AI agents the way they think about employees — hire them, train them, manage them, and scale them. Concretely: it's designed for businesses that want AI to perform repeatable work, not simply answer questions. You create specialized AI agents, give them access to business tools and knowledge, connect them into multi-agent teams, and deploy them across sales, marketing, support, research, and operational processes. No engineering ticket required to get started.

Where it sits in the stack

Relevance AI sits at the orchestration/automation layer — it's the glue that coordinates data enrichment, outreach drafting, CRM updates, and signals into one automated loop. It sits between developer frameworks like n8n and no-code automation tools like Zapier and Lindy, which makes it a solid option for RevOps and GTM teams who want to build custom, multi-agent workflows without involving a full engineering department.

The platform connects to over 2,000 apps and supports custom API integrations — standard integrations cover CRMs like Salesforce and HubSpot, productivity tools like Google Sheets and Notion, and communication platforms like Slack.

Three workflows people actually run

1. Account research Workforce before outbound — Point an agent at a list of domains and have it return firmographic data, recent news, and a fit score. Wire that into a second agent that scores accounts against your ICP criteria (pull from HubSpot or a Google Sheet), then a third agent that drafts a personalized first-touch email per account and drops it into your sequence tool (Outreach, Apollo, Instantly). Instead of one agent doing everything, you build narrow agents — research, enrichment, outreach — and a manager agent delegates steps between them, which improves reliability for complex workflows. The whole thing runs on a schedule; your SDR reviews the output queue each morning.

2. Inbound lead qualification at speed — A new form fill hits HubSpot. A trigger fires a Relevance AI Workforce that runs a web research agent (checks LinkedIn, the company site, recent funding news), a scoring agent (applies your qualification rubric), and a routing agent that writes a CRM note and either enrolls the lead in a fast-track sequence or flags it for AE review. Scheduled Tasks let agents run automatically at defined intervals without manual triggering, and Smart Escalations route tasks to humans when the agent encounters something outside its defined scope. Human touches only on the edge cases — everything in-band moves automatically.

3. Pre-call prep agent for AEs — You can create a relatively simple agent that researches an account before a sales call, or design an entire AI Workforce where several agents divide responsibilities, exchange information, and escalate decisions to people. In practice: when a meeting is booked in Calendly, the agent pulls the prospect's LinkedIn activity, recent press, Salesforce deal history, and any open support tickets, then generates a one-page brief and posts it to Slack 30 minutes before the call. Calling and Meeting Agents, available from the Team plan, enable voice-based and meeting-based automation for teams that want to extend this further into call handling.

What it costs

Relevance AI splits costs into Actions (task runs) and Vendor Credits (AI compute), with Vendor Credits rolling over indefinitely. Here's what that looks like across tiers:

  • Free: 200 Actions per month and $2 in bonus Vendor Credits on sign-up. One user, one project. Good for kicking the tires.
  • Pro: $19/month on annual billing, with 2,500 Actions and $20 in Vendor Credits monthly.
  • Team: $234/month billed annually (or $349 month-to-month), includes 7,000 Actions plus $70 in Vendor Credits each month.
  • Enterprise: Custom pricing. Offers custom usage limits, more security controls, and integrations with Salesforce, Snowflake, and Zendesk.

The gotchas: Actions and Vendor Credits function as separate consumption meters, both of which can be exhausted independently. Actions track tool executions within workflows — API calls, data transformations, integration triggers — while Vendor Credits cover LLM API costs.

A research agent might use 5 Actions (scraping, parsing, scoring, updating CRM, drafting message) plus $0.02 in LLM costs per prospect — but failed runs, retries, and unexpected loops multiply these base costs unpredictably.

There is no published intermediate plan between Free (200 Actions/month) and Team ($349/month on monthly billing), leaving small teams with a steep pricing cliff to clear. Overage rates of approximately $80 per 1,000 Actions make monthly bills spike sharply during high-volume workflows. One upside: Vendor Credits have no markup, and paid plans let you bring your own API keys to bypass Vendor Credits entirely — useful if you already manage usage through OpenAI, Anthropic, or similar providers.

Who it's for (and who should skip it)

Relevance AI is well suited to GTM operators, revenue operations teams, and technically capable sales or marketing teams that want to build custom automation rather than buy a fixed product.

If your workflows are non-standard, your use cases span multiple departments, or you want to wire together your own AI processes using the LLMs you already work with, Relevance AI gives you genuine capability that dedicated point solutions cannot match.

Skip it if: The platform has a real learning curve at its more advanced levels — configuring a multi-agent workforce and fine-tuning each agent's behavior require time and experimentation. An SME with well-defined processes can see concrete results within a few days, but teams without clarity on their own workflows may take weeks to extract full value. If you need outbound sequences running by Friday and have nobody who wants to think in systems, buy a point solution (Apollo, Instantly, Clay) and revisit Relevance AI when you've outgrown the guardrails.
