What it is
Every new sending domain starts with zero reputation. Gmail and Outlook don't know you yet, so they hedge their bets and route you to spam. Mailreach fixes this by connecting to your inbox and running automated warmup — sending, receiving, replying to, and starring emails on your behalf — to build a sender reputation before your sequences go live. The twist that separates it from simpler warmup tools: it includes inbox placement testing alongside warmup, so instead of just warming up your account and hoping for the best, you can actually test where your emails land across major providers.
Where it sits in the stack
Mailreach is a deliverability layer tool — it sits underneath your sequencer, not inside it. Mailreach is purely warmup and testing. You still need a separate cold email tool (Instantly, Woodpecker, Smartlead, etc.) and a separate prospecting tool. It most commonly runs alongside Instantly or Smartlead as the dedicated reputation manager those platforms don't fully replace, and pairs with Clay on the data side when teams are building large multi-domain outbound infrastructure.
Three workflows people actually run
1. New domain pre-launch warmup — You've bought five Google Workspace domains for a new SDR pod. Don't touch Instantly yet. Connect each inbox to Mailreach via IMAP/SMTP. One of the most obvious signs of a spammer is sending hundreds of daily emails with a new domain that lacks a sender reputation — Mailreach prevents this by gradually increasing your sending volume and frequency.
Mailreach recommends 14–21 days of warmup before starting cold outreach, with progress visible on the deliverability dashboard. New domains typically need the full 21 days; domains with some history may reach optimal scores in 10–14 days. Once the reputation score hits green, flip on your sequences. Target: 90%+ inbox placement rate for new domains within 4 weeks.
2. Pre-send spam test on every new template — Before you push a new sequence live in Smartlead or Instantly, run it through Mailreach's spam tester. The spam test feature sends your email to seed accounts across Gmail, Outlook, Yahoo, and others, then reports where it lands — inbox, spam, or promotions.
The test checks SPF, DKIM, and DMARC records, blacklist status, link security, HTML structure, and spam keywords.
A standout feature is the content checker, which analyzes your email templates for trigger words or formatting issues that might land you in spam — flagging risky elements and giving clear recommendations. One credit = one test. Run it after every meaningful copy or link change, not just on first draft.
3. Ongoing reputation monitoring across a large inbox fleet — Agencies and RevOps teams managing 20–50+ mailboxes use Mailreach's dashboard as a daily health monitor. The dashboard shows your reputation score indicating domain reputation and overall deliverability health, category monitoring that breaks down whether emails land in inbox, spam, or other categories, plus account health metrics including blacklist, SPF, DKIM, and DMARC checks.
When email domains get blacklisted due to high bounce rates or spam complaints, Mailreach rebuilds sender reputation through its automated warmup network — with documented recovery timelines of 3–4 weeks versus months without active warmup. Wire Slack alerts to reputation drops so you catch a tanking inbox before it poisons an active campaign. Mailreach also offers a REST API and Zapier integration to automatically check deliverability at scale.
What it costs
The All-In-One plan (warmer plus spam tester) is $19.50/mailbox/month on monthly billing, with a 20% discount on annual billing (≈$15.60/mailbox/month), and includes 20 spam-test credits and up to 100 warmup emails/day per mailbox.
Pricing is tiered: $25/inbox/month for 1–5 mailboxes, dropping to $19.50/inbox/month once you're warming 6–20, with lower per-inbox rates at higher volumes.
The gotchas:
- The per-inbox model creates a math problem that gets ugly fast once you're managing more than a handful of accounts.
A fleet of 40 mailboxes runs in the ballpark of $620–$780/month before discounts — on top of what you already pay for the mailboxes themselves.
- Spam test credits are capped per plan, so heavy testers can hit limits faster than expected.
Standalone spam testing credits cost $43.20/month for 200 credits on a monthly billing plan.
- There's no free trial for warmup. You're paying from day one, and with a 14–30 day warmup timeline, you're $20–40 deep before you know if it's working for your specific domain. The spam tester does give you three free spam tests every 24 hours — enough to poke around before committing.

Who it's for (and who should skip it)
Good fit: Mailreach explicitly positions itself as a B2B cold outreach tool — not designed for B2C newsletters, promotional campaigns, or transactional email. Its use cases span sales teams trying to book more meetings, recruiters sourcing candidates, agencies managing deliverability across multiple client inboxes, and deliverability consultants. If you're running a serious multi-domain outbound motion and want a dedicated tool rather than the warmup tacked onto your sequencer, Mailreach is a defensible pick.
Skip it if: You're on Instantly and your campaigns are already performing. Instantly includes warmup in all plans — Mailreach's added value is the inbox placement testing, but if your Instantly campaigns are performing well, the extra cost isn't justified. Solo senders warming one or two inboxes will also feel the per-mailbox pricing acutely. And be clear-eyed about the arms race: standalone warmup's effectiveness has come under pressure since Google's 2024 bulk sender requirements and Microsoft's tightening. Warmup is necessary, not sufficient.
