Happy Tuesday all! Another week, another set of updates. :-)

You may have noticed this faster pace over the last few weeks; I sure have! While we've been using LLMs (think ChatGPT stuff) for over a year to help us get features done more quickly, starting at the beginning of this month we took a few days to focus on our process and figured out how to accelerate that pretty significantly. It also has the neat side effect that I'm now finally putting all the things you ask us to do in one place and track it! I'm excited for how much more it let's me share with you (Yes, that's 82 'projects' completed in the last ~3 weeks!). I'm also pretty happy with how the groundwork of our system and design has allowed us to pick up the pace while maintaining a good level of quality, but it comes with a lot of learning for us. It makes reviewing and quality control more important, and stacking up changes for even a week like this means that, if one thing has an issue, it can impact everything else coming out!

All of that to say, this is an experiment for all of us in this brave new world. We will certainly slow it back down if we feel we can't maintain quality. We may send out these updates even more frequently so items don't stack up. Feel free to let me know what you think as we move along, in fact I count on it! :-D

We added several smaller items, like fixing some bugs, increasing logging on the portal, and cleaning up the formatting and wording of some emails and screens, and the major items are below.

Licensing: Related Business Information at a Glance

When viewing a license application or license record, you'll now see a helpful sidebar with key information about the associated business — including primary contact details, the main contact person, a summary of the business's licensing record, whether personally identifiable information is on file, linked contacts, and a quick overview of any notes or flags.

New Cash Receipting Module for When You Need to.. Go Out and Charge Things?

Okay so we had a customer with an upcoming sporting event where they needed to sell tickets and their planned software did work out... so, voila! Y'all now get a free Cash Receipting Module! :-D

This new 'hat' lets you hand govpossible to a teller or cashiers to do basic cashiering without getting into information they shouldn't, like licensing or permitting data. When you switch to Cash Receipting, you'll see only what you need — creating new miscellaneous charges and checking folks out. We can also limit exactly what charge types they have access to. Make sure they still get PCI training!! :-)

It's not turned on by default, but say the word and we're happy to turn it up for you!

Automated Notification Rules for Permits

We've added a new Notification Rules feature that lets us set up automatic email alerts based on permit activity. The first rule available out of the box addressed a customer need: when a permit is approved and the associated parcel falls within a floodplain, the system can now automatically notify the right people by email. No more manually checking parcels or remembering to send follow-up messages — the system handles it for you.

Notification rules are fully configurable through the admin interface. You can choose who gets notified by selecting existing contacts or credentials in the system, or by entering additional email addresses directly. Rules can also be scheduled with start and end dates, so seasonal or time-limited notifications are easy to manage. Each rule is tied to a specific event and condition, giving you precise control over when alerts are sent.

This is just the beginning of a broader notification system. While email is the first delivery method, the foundation is in place to support additional channels in the future, such as in-app alerts and text messages. If your organization has other scenarios where automatic notifications would save time, let us know — the system is designed to grow with your needs.

Licensing Input Fields Got Smarter

We added the ability to require certain fields or documents a couple of months back, but then we ran into a problem: we want to require proof of income, but only on renewals, not new licenses... because... well... they don't have income to prove yet.

So now we have more control over when fields appear and when they're required. You can now set portal visibility and requirements differently for new applications versus renewals. For example, you might require articles of incorporation only on a new license application, while asking for proof of income only at renewal time when the business has revenue to report. These options ensure applicants see exactly the right fields for their situation — reducing confusion for them and cutting down on incomplete submissions for your team.

These improvements give your licensing staff more precise control over the application process while making the day-to-day management of license types quicker and easier. It's available down in the 'Admin' section of licensing on your license types, but feel free to reach out and we're happy to help get it configured! :-)

Manage Your Linked Businesses with Ease

I'm very good at putting something in place that assumes the people using it will never make a mistake. We put in renewals four years ago...since then, users have had a way to add a business, but not delete it! So, wow, they now the ability to remove a business from their profile. Simply click the "Remove" button, confirm their choice, and the business will be unlinked from their account.
