Hello everyone! We have a couple of new features in the Licensing & Tax module that we’re excited to announce:

E-mailing Renewal Notices

Now you can send renewal notices via e-mail! Under ‘Notices’ - ‘Renewals’ you now will see a new tab:

Which brings you to the following:

Using this screen, you can tell the system to send renewal notices for all open renewals of the type selected. It will send it to any email associated directly with the business as well as any online account e-mail and any email address associated with the owner. You can send yourself a sample e-mail using the link at the bottom.

To send out renewals, choose the date you want them sent. GovPossible will send out the notices the evening of the set date.

Interactions

One question you might have is: ‘How do we know to whom it was sent?’. Funny you might ask, as that’s what led us to create interactions.

“notes” are available on businesses and a bunch of other things already and many of you have used them for noting when you reached out. However, a communication is a little bit different. It’s about the business but it’s (usually) with a person at that business. Interactions allow you to track that!

Interactions are just above ‘Notes’:

When you add one, you can select the type of communication, the contact within the account, and when it happened:

These all end up attached to both the business and the Business and the person and in their Interaction timeline:

When you send an e-mail notice, it automatically adds an interaction to the business as well.

If users opt out of future emails (or if they call you asking to opt out), you can view or update their preference:

Adding the Renewal Notice Mailer to Interactions

..and as a final bonus, you can now record when you sent out the renewal mailer to your businesses!

At the bottom of the renewal area for your mailers, you’ll now see:

Set the postmark date when you sent your mailers and click ‘Record Mailing’. GovPossible will add an interaction to every business. When it’s in the fall and someone asks exactly when you sent that renewal notice, now you can tell them!
