Chili Piper in 5 minutes

Chili Piper in 5 minutes

Issue #27 - The tool that turns a filled-out demo request form into a booked meeting before the prospect opens a new tab

What it is

Someone fills out your "Request a Demo" form. Without Chili Piper, that lead goes into Salesforce, sits in a queue, gets assigned by a human, and the rep follows up tomorrow—maybe. With Chili Piper, a calendar overlay appears on the thank-you screen, the lead books a slot in real time, and the right rep gets notified instantly. It automates the scheduling process by eliminating back-and-forth emails and lets prospects book meetings directly from web forms, emails, or during live chat. The core problem it solves is speed-to-lead: every hour you wait on an inbound demo request is an hour for your competitor to answer first.

Where it sits in the stack

This is a meetings & conversion tool, sitting between your marketing forms and your CRM. Chili Piper operates as a workflow layer between Google Apps/Microsoft 365 calendars and Salesforce.

Differentiating features include lead routing, round-robin assignment, lead qualification from web forms, and Salesforce integration. It most commonly pairs with Salesforce (required for its more advanced routing products), HubSpot or Marketo on the form side, and Zoom or Google Meet for the meeting itself. Teams often buy it alongside or instead of Calendly—Calendly handles individual rep links; Chili Piper handles the team-level routing logic.

Three workflows people actually run

1. Inbound form-to-demo (the flagship use case) — A prospect submits a demo request on your HubSpot or Marketo landing page. Chili Piper's Form Concierge fires a calendar overlay on the confirmation screen. If you're using Form Concierge, Chili Piper requires the CRM connection to do routing based on records in Salesforce—Lead, Contact, Account, Opportunity, or Case—and can route based on ownership or any lookup fields. The routing engine checks the Salesforce record: is this an existing account with an assigned AE? It books them directly on that AE's calendar, skipping the SDR entirely. No existing record? It round-robins to the next available SDR. The meeting lands in Salesforce as an activity immediately.

2. SDR-to-AE handoff (Handoff product) — An SDR cold-calls a prospect and gets positive intent. Instead of asking "when works for you?" and chasing a calendar link over email, Chili Piper handles the meeting handoff between SDR and AE, including no-show rescheduling and group bookings across panels of stakeholders. The SDR opens a Chili Piper overlay directly in Salesforce or Gmail, picks a time slot from the AE's live calendar, and books it on the spot—with the prospect still on the phone. The AE gets a Slack ping. The whole thing takes about 30 seconds and logs to both reps' Salesforce activity feeds.

3. Post-campaign meeting routing (Distro + Concierge) — You run a paid campaign driving traffic to a gated content form. Form submissions go into Marketo, which sends them to Chili Piper's Distro module for lead assignment. Chili Piper supports round-robin scheduling, custom intake forms, Slack and Zoom integrations, and webhooks for downstream CRM automation—letting RevOps encode account ownership and territory logic into the booking flow rather than bolting it on after the fact. High-intent signals (e.g., ICP firmographic match, specific job title) can trigger a priority queue that routes to senior AEs rather than the SDR pool. Meetings that don't get accepted within 4 hours can auto-reassign—no lead sits in limbo over a weekend.

What it costs

Chili Piper follows a modular pricing model. Each product is priced separately, with a per-user fee and an additional platform fee. Here's the breakdown as of mid-2026:

  • ChiliCal (basic booking links, Calendly-equivalent): $15/user/month + $225/month platform fee.
  • Concierge (form-to-meeting routing): $30/user/month + a platform fee of $150–$1,000/month based on total inbound lead volume.
  • Distro and Handoff (lead distribution and SDR-to-AE handoffs): $30/user/month + $225/month platform fee each.

The gotchas:

  • Concierge's platform fee escalates from $150 to $1,000/month based on lead volume—including unqualified and junk form submissions. Your paid ads driving bot traffic? Those count.
  • Teams that need multiple products pay multiple platform fees. Running Concierge + Distro + Handoff means three platform fees stacking on top of per-seat costs.
  • That $15/user/month on the pricing page looks reasonable—until you realize most teams need two or three products plus a platform fee. A 10-person team running Concierge and Distro isn't paying ~$150/month. They're paying $950/month.
  • Annual contracts are the baseline; multi-year agreements often unlock additional discounts. Renewals often include 5–10% annual escalators.
  • No free plan or free trial. You're going through a sales call before you touch the product.

Fully loaded, teams report paying $13,200–$30,000/year once seats and platform fees are combined.

Who it's for (and who should skip it)

For: If you're looking for a deeply integrated Salesforce meeting scheduler and terms like "round robin" come up regularly for your team, Chili Piper is probably the solution for you. It earns its price tag when you have real inbound volume (hundreds of form submissions per month), a defined territory or ownership model in Salesforce, and SDRs who need to hand off to AEs without fumbling a booked call.

Skip it if: If you need deeper integration with a CRM like HubSpot, Pipedrive, or Copper, you might consider Calendly instead. Also skip it if your inbound volume is low—you'll be paying the Concierge platform fee on almost no meetings. And if your team runs a primarily outbound motion, Chili Piper plays no role in that process whatsoever —pair it with a separate sequencing tool or you'll have a gap.
