Hello everyone! We're introducing a new feature for our Legislative Management module to help you manage public comment periods!

Meeting Management

Your community can now view upcoming council meetings, town hall sessions, and other legislative gatherings directly through your portal. Each meeting listing shows:
- Meeting date and time - Meeting type (council meeting, public hearing, etc.) - Agenda items for that meeting - Links to related documents or materials

Public Comment Requests

One of the challenges of having a public comments agenda item is managing the sign-up process. Govpossible now helps you manage it before and at the meeting.

When someone views a meeting agenda and there is an agenda item where the meeting will allow a public comment period, they can click to request comment time.

The system walks them through a simple form where they: - Select which agenda item they want to address (if there are multiple in the meeting) - Provide their contact information (auto-filled if they're logged in) - Can optionally include details about their comment topic All of their contact details - name, email, phone, and address - get collected with the request so your staff has everything needed to follow up.

For Your Staff

You get alerts when someone Comment requests flow directly into your ERP system where you can: - See all requests for upcoming meetings - Review who's requesting to speak on which topics - Manage your speakers list - Have all contact information readily available

The system sends the meeting name and a link back to the portal with each comment request, so your staff always has context about which meeting and agenda item the request is for.

Meeting-Time Electronic Signup

At meeting time, you can also setup a laptop or tablet to allow for signs-ups right until the meeting starts.

The Bigger Picture

This system helps you more easily manage public comments periods. It lets you avoid the paper signup sheets and their legibility issues and also makes it more convenient for the community.
