Issue #21 - The incumbent: what you're actually buying when you sign that five-figure contract
What it is
ZoomInfo is a B2B contact and company database with intent signals, workflow automation, and conversation intelligence bolted on. The core job is simple: you type in a job title, company size, industry, and technology stack; it hands you a list of people with verified emails and direct-dial phone numbers. ZoomInfo's database claims 320M+ contact profiles, and its firmographic and technographic filtering is comprehensive — industry, company size, tech stack, revenue, employee count, and dozens of other attributes. It's the tool every enterprise sales team compares everything else against, which is partly a function of its actual data quality and partly just a decade of being first.
Where it sits in the stack
ZoomInfo sits at the data and enrichment layer. It spans sales, marketing, operations, and talent workflows through separate product lines: SalesOS, MarketingOS, OperationsOS, and TalentOS.
Standard CRM integrations with Salesforce, HubSpot, and Microsoft Dynamics are typically included in paid contracts. Most teams pair it with a sales engagement platform like Outreach or Salesloft for sequencing, and increasingly with Clay for waterfall enrichment when ZoomInfo credits run dry. It competes most directly with Apollo (which bundles sequencing) and Cognism (which wins in Europe).
Three workflows people actually run
1. ICP list build → CRM push → sequence launch — Define your ICP using ZoomInfo's 300+ filters: job title, seniority, industry, company revenue, employee count, and technographic data (e.g., "uses Salesforce"). Export the list against your credit balance. GTM Workspace integrates directly with Salesforce via bidirectional, real-time sync, and flexible views let reps slice accounts and contacts with ZoomInfo firmographic, technographic, and intent data enriched alongside CRM fields. From there, the list goes into Outreach or Salesloft for sequencing. This is the bread-and-butter motion — tedious to set up the first time, then runs on autopilot.
2. Intent-triggered outbound — ZoomInfo's intent data is Bombora-powered and operates at the account level. It tells you "Company X is researching topic Y," but it does not tell you which contact at that company is showing buying behavior. The workflow: set up intent topic alerts in ZoomInfo (e.g., "CRM software," "sales intelligence"), get a weekly digest of accounts spiking on those topics, pull the relevant decision-maker contacts, and drop them into a fast-moving 5-touch sequence. Without contact-level signals, ZoomInfo users know a company is interested but must guess which person to contact — so pair this with LinkedIn Sales Navigator to validate the right stakeholder before burning credits.
3. CRM enrichment and hygiene via OperationsOS — OperationsOS is ZoomInfo's RevOps product for data enrichment, CRM hygiene, contact and company matching, deduplication, and lifecycle management. The workflow: connect OperationsOS to Salesforce, set rules to auto-enrich new inbound leads (append direct dial, company revenue, headcount, tech stack), and schedule periodic re-enrichment to catch job changes. ZoomInfo also integrates natively with DataGroomr so Salesforce records are automatically enriched and validated against ZoomInfo's B2B data. This is the workflow that justifies ZoomInfo to a CFO — "we don't need to hire a data analyst to keep the CRM clean."
What it costs
Pricing isn't published on ZoomInfo's website. Every quote is custom, and the numbers shift based on seat count, product bundle, and how hard you negotiate.
Here's what buyer-reported data shows for 2026:
- Professional: ~$14,995/year for SalesOS, annual contract. Advanced: ~$24,995/year. Elite: $39,995+. But the sticker price is misleading.
- Per-seat add-ons run $1,500–$2,500/user/year, so a 5-person team on Advanced actually pays roughly $37,495/year, not $24,995.
- The median ZoomInfo contract runs $31,875/year across 1,313 verified purchases, according to Vendr (2026).
- Enterprise deployments with full platform access, Chorus, Engage, custom data feeds, and CRM integrations easily reach $100,000–$300,000+ per year for larger teams.
The credit gotcha: Credits are where costs spiral. Every contact view or data export consumes credits. A starter plan typically includes 2,500–5,000 annual credits, which is insufficient for active prospecting teams. Additional credit purchases are common and expensive.
A 5,000-credit plan does NOT mean 5,000 lookups — different actions cost different credit amounts. Unused credits typically don't roll over to the next contract year. Overage credits can be purchased mid-contract but at higher per-credit rates than the bundled allotment.
The renewal trap: ZoomInfo uses a strict 60–90 day written notice window for cancellation. Miss that window by even a day and you are often legally locked into another full year. Many RevOps pros suggest sending your "notice of non-renewal" immediately after signing the contract.
The auto-renewal also comes with built-in price increases — multiple users report 15–20% annual bumps with no negotiation. Your $25K contract becomes $30K in year two and $36K in year three.
Add-ons that will surprise you: ZoomInfo Intent ($5–15K/year), Engage ($10K+/year), Org Charts ($5K+/year), and web tracking ($5K+/year) are all separately priced.
API access reportedly starts at $50K/year for prospecting and lead generation, per ZoomInfo sales rep reports on Reddit.

Who it's for (and who should skip it)
Use it if: For North American enterprise contacts, ZoomInfo's accuracy holds up — direct dials connect, emails deliver, job titles are current. If your ICP is VP-level and above at US companies with 500+ employees, ZoomInfo's data quality is the best in the market. You also need a dedicated RevOps admin to manage the platform, enforce credit budgets, and handle the CRM integration. If you have both, it earns its price.
Skip it if: You're targeting outside North America — for European contacts, Cognism often delivers stronger results thanks to its Diamond Data verified mobiles. Skip it if you're a team under 10 people or a startup on a limited budget: teams spending $30,000–$75,000/year on ZoomInfo when they could get 80% of the value from Apollo at $6,000/year are overpaying for brand premium. And if your main gap is sequencing and deliverability rather than raw data, a tool like Apollo or Amplemarket covers both in one contract.
