Wanted: Co-Chairs, vice-chairs, secretary
Good morning Nelson, families.
We are getting worried about the state of the PAC next year; we haven’t heard from anyone about volunteering for the co-chair position, and time is running out. Our AGM is June 11, 6:30-8pm and ideally we would have new folks ready to be elected on that day.
It’s a super rewarding position: from helping kids access hot lunches, to planning super fun events, helping the staff at the school, and being part of the community! Most importantly, it’s a great way to be a role model for volunteering for your kid(s)!
This volunteer position averages around 1 hour of work per week, but it ranges from 30mins to 4 hours, depending on the time of year.
What we’ll lose next year if we don’t get volunteers for co-chair;
all PAC events will be cancelled
all PAC advocacy work will be cancelled
this includes parent talks and student workshops
all fundraisers will be cancelled
We’ll only be able to provide the teacher stipends and fields trip funds, plus hot lunches.
So if you are a person who is great at delegating, has new ideas for events or getting other folks involved with the school, or wants to make sure these events keep happening, please contact us ASAP. We’ve attached a description of the duties below.
One or two folks willing to volunteer as vice-chairs would distribute the workload even more, making it easier for all involved. And a secretary taking minutes at the meetings would be an ideal add, and a great role for someone who maybe prefers to not be in the spotlight.

Chair/Co-Chair:
Co-Chair roles and responsibilities evolve depending on the year - historically there has been:
one Co-Chair working on the more administrative elements of the role
the other the more political, social aspects
Annually:
Determine, in conjunction with Exec, dates and schedules for all PAC coordinated events; Maintenance of PAC google calendar
Ensure and oversee that all Administrative duties have been arranged, everyone understands who is doing what
Oversee all events and activities
Monthly:
Meet with Admin prior to developing agenda for PAC meetings to discuss upcoming events and current business.
Collect info from the executive to prepare meeting agenda
Prepare and send formatted Agenda to Chair to send via Buttondown (ideally a day or two in advance of meetings)
Review and approve all agendas and minutes
Chair/Co-Chair all PAC meetings or ensure that an exec is present to Chair
Update website
Ongoing:
Coordinate/conduct all communications with Parent distribution list - using Buttondown for entire parent body, Gmail for smaller groups
Act as an advocate for parents who request support
Maintain a primary focus on the wellbeing of students and the support/mitigate the impact of the parent community on the school community
Attend school events and assemblies as a representative of the parent community
Maintain an overview of all events and committees, in conjunction with the Co/Vice-Chair.
Recruit new volunteers and supports for events
Upload all documents to Google Drive - secretary to upload minutes and agenda
Put decisions to Exec vote - we usually vote as a group at PAC meetings but for emergencies, exec can vote via email
Liaise with all members of the Exec between meetings when necessary
Oversee and monitor the financial status of the PAC in co-operation with Treasurer
Sign cheques as needed
Make/approve transfer of funds on online banking
Liaise with community partners
Manage political aspects of the whole parent group, respecting that PAC represents a very diverse set of parent values eg. answering emails, forwarding requests, bringing up questions to DPAC or BCCPAC
