⚙️ Operations Bulletin – Alias Intelligence
Internal Process, Policy & Platform Updates
August 2025 Edition

🧭 Message from Ops Leadership
At Alias, operations are what make excellence scalable.
Whether you're in scoping, investigations, review, records management, or client comms — your consistency and clarity power everything we deliver. As client needs grow more complex and global, so do the workflows and tools supporting you.
This month’s bulletin is focused on efficiency, cross-functional alignment, and making your life easier.
Let’s get to it.
🔄 Workflow Updates
✅ New Publishing Playbook Updates
The Publishing Playbook has been refreshed. A few changes to keep top of mind:
Insight cases: You may now approve more than 15 records per module. That cap no longer applies.
“Generate Verbiage” requires record approval first – Select Mode + Select Similar helps batch faster.
Module-level Select Mode is encouraged for better surf efficiency.
→ 📌 Refer to the updated Publishing Playbook.txt on Notion or reach out to GPT for walkthroughs.
⏳ Updated Record ETA Guidance
ETAs have been clarified across vendors. If you’re not quoting business days, you’re doing it wrong.
Highlights:
Massachusetts iCORI – 2–3 BD
RRS Tax Liens (Recorder Office) – 3–5 BD
Education Verifications via NSCH – Instant to 3 BD
DENSPRI (Motor Vehicle) – Attach screenshot of order confirmation
→ Section 6 of Policies and Procedures.txt has the updated list. Bookmark it.
🛑 STOP: Common Review Errors to Avoid
Before sending anything forward, double-check for:
✅ Missing jurisdiction notes for real estate modules
✅ Records approved but no attachments
✅ Lack of attempt detail in Employment or Education modules (must show 3 full attempts)
✅ “Settled” cases with no description — that’s not enough. Dig or say why info is limited.
→ See Section 39.3 for full Areas of Concern checklist.
🔧 Platform Updates & Tools
🌐 Oracle Suite is Live for All Deals
Both Subject Oracle and Deal Oracle are available across all deals. Use these to:
Cross-reference record coverage
Pull related case dockets across subjects
Detect module gaps before review
No need to manually flip through dashboards anymore. Use your tools.
🧠 GPT Enhancements
Your internal GPT now supports:
Step-by-step Publishing & Review Playbook guidance
Real-time interpretation of legal docs (upload a PDF and ask questions!)
Automatic keyword mapping to policies based on what you type
Use it like a teammate. It's trained on every Alias doc.
📎 Quick Reminders from Ops
🕒 All timestamps and ETAs must reflect business days, not calendar days.
🧾 All record request emails must CC both vendororders@ and pendingrecords@ – no exceptions.
🏷️ Always tag your subject chat with [Record Order Placed], [ETA Set], or [Needs Follow-Up].
🔍 Ongoing Projects
🛠️ Internal Training Library overhaul (expected September 2025)
🗃️ Module-by-Module Sample Verbiage Reference Sheet rollout
🔁 Records auto-triage in development (AI to flag duplicates or missing links)
